Cut the redundancies.  Simplify your business.

Drive consistency and user adoption in Microsoft SharePoint through transparent information governance.

The GimmalSoft Governance Suite for SharePoint frees your organization’s users from involvement in the classification process with the support of a consistently and globally applied content management system inside SharePoint, the powerful collaboration platform that millions of users rely on for collaboration.

Overcoming Traditional Problems

Traditional enterprise content management (ECM) solutions burden the user with indexing and records classification requirements that interrupt the flow of their productivity and result in costly, time-consuming maintenance.  But with the arrival of the Information Governance Suite for SharePoint, organizations can now significantly reduce costs, risk, and redundancies with globally managed, enterprise scalable and consistently applied business rules and support for diverse security systems and multi-faceted retention policies within SharePoint.

The GimmalSoft Governance Suite is a collection of  SharePoint-native components developed using a service-oriented architecture to drive consistency in managing information policy, metadata management and record routing rules, to support your organization’s long-term content and records management strategy. The Governance Suite is easy to implement into a SharePoint environment as native features are extended from within SharePoint, not integrated from the outside in.  User adoption is rapid and viral, as individuals are no longer required to work outside their trusted SharePoint environment to ensure control of enterprise content.  So they can get back to work, while your organization realizes:

Reduce Costs

  • Eliminating support and infrastructure maintenance for redundant systems
  • Consolidating your collaboration and content management applications on a common platform

Reduce Risks

  • Enhancing business continuity and disaster recovery readiness with streamlined management of vital records

Consistency Essentials and Adoption Essentials features

Consistency Essentials

Governance Provisioning

Farm administrators work with their governance team to pre-define a set of provisioning definitions for new sites in the SharePoint farm, including pre-configured settings for:

  • Site URL and site naming standards
  • Features activated/deactivated
  • Library and list creation
  • Content type assignment (lists and libraries)
  • Default user/group assignments
  • Requirements for site creation approval

Metadata Rule and Inheritance Manager

Define global and local rules for how properties are defaulted and defined in a given content type or location.

  • Auto-population of metadata based on rules
  • Minimized need for user data entry, and improved user adoption
  • Capture of necessary information to support compliance or other rules
  • Fully configured at multiple levels including site collection, site, library, folder and content type

Content Organizer Manager

Allows for centralized control over content routing rules across multiple sites, site collections and farms.

  • Instantiates changes to rules from a central source
  • Eliminates the need to manage content organizer settings and rules in numerous sites

Adoption Essentials

Enhanced Template Management

Scale from supporting a single template per content type to an unlimited number of file format templates per content type, so you are:

  • No longer limited by a specific content type format definition
  • Able to create a number of possible formats for any content type
  • Managing templates within a central location and publishing them to individual sites
  • Electing to use the global templates or define local templates

Enhanced Search Interface

Extension of SharePoint Enterprise Search or FAST enables organizations to:

  • Leverage content types, site columns and managed metadata directly from the point-and-click interface
  • Configure the displayed attributes for the results of the search, as well as available search scopes
  • Display results through an integrated action menu and a source document library link for each item returned as part of a search

Drop Zone Classification

Extension of the standard SharePoint 2010 drag and drop functionality allows you to:

  • Assign a specific set of properties and a target location for those files that are dropped onto the web part location
  • Enforces property assignment consistency, minimized user input and governance directly through the user experience

Compliance Hub Enterprise

  • Manage file plan with a rich interface
    • Association of information policies (disposition instructions)
    • Instantiate file plan into SharePoint
